How do I connect Bonyan to the e-invoicing system and issue a tax invoice from a receipt?

اقرأه بالعربيّة

What you will do

You connect your organization to the Egyptian Tax Authority's e-invoicing system once. Then you issue a tax invoice from each customer receipt: the Bonyan Signer app signs it with your e-seal token, and Bonyan sends it to the system and follows it until it is Valid at ETA.

Before you start

  • E-invoicing is a paid add-on. Request it from the E-invoicing tab in Settings: add a note if you like, and click Request the add-on. The Bonyan team contacts you with the details and price, then enables it for your organization.
  • An Egyptian organization registered with the system, with its nine-digit tax number entered in Tax number on the Company profile tab of Settings.
  • From the ETA portal: register Bonyan as your "ERP system" to get a Client ID and secret. Create your work line item code and wait for its approval. Approval can take days.
  • An e-seal token from an approved issuer, such as Egypt Trust, plugged into a PC running Windows 10 or later.
  • Project taxes: the invoice amount is the payment including taxes, split by the project taxes on the receipt date. Set them before you record the receipt.
  • Customer details:
    • A company customer needs a nine-digit tax number and a full address.
    • An individual customer needs a national ID when the amount is 25,000 EGP or more.
  • Your organization starts in the Test environment. Nothing issued there counts as an invoice. You move to production after your first valid invoice.

Steps

  1. Once the add-on is enabled, open Settings, then the E-invoicing tab.
  2. In Enable e-invoicing, choose Egypt under Organization country, then click Enable.
  3. In Organization details, choose the Activity code. Leave Branch code (main is 0) at zero unless you registered branches with ETA. Complete the address: Governorate, City or area, Street and Building number. Then click Save Data.
  4. In Work line item code, choose the Code type, enter the approved Code from the portal, and choose the Unit. Then click Save Data.
  5. In Connection credentials, enter the Client ID and the Client Secret, then click Save credentials.
  6. In Signing devices, click Download Bonyan Signer and install it on the PC with the token.
  7. Type a name for the device, such as "Accountant PC", and click Link device. An eight-character code appears, valid for ten minutes.
  8. On the token PC, open the Bonyan Signer menu from the taskbar and choose "اقتران بالمكتب…" (Pair with office). Enter your Bonyan office address and the code, and click "اقتران" (Pair). Then choose "إدخال الرقم السري…" (Enter PIN) and enter the token PIN.
  9. Review Readiness, and click Check again until every item is complete.
  10. Open the customer receipt, and click Issue tax invoice in Tax document.
  11. Review the Buyer and Amounts in Tax document preview, then click Prepare document.
  12. Click Authorize submission, then Confirm authorization.

The app signs the document within seconds, then Bonyan sends it. Its status changes on the panel by itself: Awaiting signature, then Being validated, then Valid at ETA.

From the project page: after you save a customer receipt from the project drawer, an Issue an invoice for this payment button appears. Click it to open the receipt page straight on the preview, then continue from step 11.

Moving to production

After your first invoice is Valid at ETA in the test environment, open the E-invoicing tab and click Move to production. Type PROD, then click Move now. Then enter the credentials from the production portal, and register your work line item code there too.

There is no way back to the test environment after the move. From then on, every invoice you authorize is a real invoice at the Tax Authority.

What changes after you save

  • When you authorize: the issue date is fixed, and the customer receipt is locked, so its amount cannot be edited and it cannot be deleted.
  • Tax documents: the document appears on this page under Payments in the side menu, with the tabs Needs action, Awaiting signature, Sending and validation and All. From there you can export a period archive with Export the period archive.
  • Sending on the issue day itself: Bonyan retries by itself if the connection fails, until 11 pm Cairo time. If the document is not signed by 6 pm, you get a "Tax document awaiting signature" notification.
  • Printing: Print document on the panel. A valid invoice in production prints with a QR code linking to it on the ETA portal. In the test environment it prints "TRIAL" with no code, and a document that is not valid yet prints as not registered with the Tax Authority.

If the system rejects the document or you need to correct it

  • Invalid, Rejected by receiver or Cancelled: click Correct and reissue, then Prepare revision, then authorize it like the first document. The receipt stays open for editing until you authorize the revision.
  • A valid invoice with a higher amount than it should be: click Credit note on the panel, and enter the Note amount including taxes and the Note reason. Then click Prepare note, then Authorize sending the note. Notes appear under Notes on the same panel. If its amount is lower than it should be, issue a Debit note.
  • Cancelling a valid invoice: click Request cancellation, enter the reason, then click Send cancellation request. The document stays valid until the system decides, and the buyer may object within the allowed period. After the cancellation period ends, the correction is a Credit note.

Permission you need

You are the account owner, so you have every permission. If you want an employee to do this for you, grant their level from the E-Invoicing group:

  • Manage e-invoicing setup to see the E-invoicing tab in Settings and link signing devices.
  • Issue e-invoices and e-receipts to prepare documents and authorize their submission.
  • Correct and cancel tax documents for revisions, notes, cancellation requests and Retry.
  • View tax documents to see the Tax documents page.

They also need View Customer Receipt Details to open the receipt page.

If you can't find the button or saving is refused

  • No E-invoicing tab in Settings: you don't have Manage e-invoicing setup.
  • "E-invoicing is available to Egyptian organizations only": the Organization country is not Egypt.
  • The tab shows only Paid add-on and a Request the add-on button: the add-on is not enabled for your organization yet. Request it, and the Bonyan team will contact you. If nobody contacts you within three days, the button appears again so you can resend the request.
  • The add-on was closed after you issued documents: your earlier documents stay in Tax documents for viewing, printing and archive export, and nothing new is issued.
  • Fix the following before preparing: in the preview: click the button under the reason, such as Complete buyer details, Open project taxes or Open e-invoicing setup. Then return to the receipt.
  • The tax registration number does not match: enter the same number in Tax number under Company profile.
  • The document stays Awaiting signature: run Bonyan Signer on the token PC, make sure the token is plugged in, and enter the PIN from the app menu. The device status shows under Signing devices.
  • After 10 pm: today's documents are not signed. They are re-dated by themselves after midnight, then signed and sent.
  • Needs action: open Document details to see the reason, fix it, then click Retry.
