How do I add a contractor who carries out items and gets paid?

اقرأه بالعربيّة

What you will do

You register a contractor in the system. A contractor is someone who carries out work for you in your project items, and whom you pay for that work. Their name is enough to save them. After saving, you can assign them an item in any project, then pay them.

Before you start

  • Contractor or supplier? A contractor carries out work for you, and a supplier supplies you with materials. Each has its own place in the sidebar: Contractors and Suppliers. The form is the same in both, but the place you start from sets the type. The type doesn't change after saving.
  • Only the name is required. The phone, address, images and commercial register are optional. You can add them later by editing the contractor.
  • The form has no field for the trade. And the contractor lists in the project and the vouchers show the name only. So if two contractors have similar names, add something to the name that tells them apart, such as "Mahmoud Hassan - Electrical".
  • Search for them first in All Contractors if you think they're already registered. The system stops a phone number from being repeated among contractors, but it doesn't stop a name from being repeated.

Steps

  1. Open Contractors in the sidebar, then click Add New Contractor. A side drawer opens with the title Add Contractor.
  2. Type the Contractor Name.
  3. Type the Address if you want.
  4. Type the Mobile Phone if you want, as digits only, from 10 to 15 digits. Don't put spaces, dashes or a + sign in it.
  5. Upload the Profile Image and the ID Image if you want.
  6. Type the Commercial Register if the contractor is a company, and upload the Commercial Register Document. It can be an image or a PDF file.
  7. Click Save Data at the bottom of the drawer. Or click Save & add another to register another contractor right after.

If you uploaded images, wait a moment until they finish uploading, then save.

Other ways to the same form

  • From the home page: as long as Finish setting up is showing, click Add a Contractor in it. If the steps are collapsed, click Show steps first. The same drawer opens on top of the home page.
  • From the All Contractors page: click Add Contractor at the top of the page.

Quick add during other work

In the Edit values drawer for an item in a project, or in a Contractor payment voucher, open the contractor list. Choose Add New Contractor at its end. The New contractor panel appears, with only two fields: Name and Phone. Click Add and use. The contractor is saved, and selected in place. You can complete the rest of their details later, by editing them from All Contractors.

⚠️ The new contractor has no item yet. So if you add them from the payment voucher, no projects may appear for them, depending on your settings. See "To assign them an item and pay them" below.

What changes after you save

  • The message "Contractor saved successfully" appears, and the drawer closes:
    • If you opened it from the sidebar, you go to All Contractors.
    • If you opened it from All Contractors, the list refreshes in place.
    • If you opened it from the home page, the Add a Contractor step is marked as done.
  • With Save & add another: the drawer stays open, and the form is cleared for a new contractor.
  • In All Contractors, the contractor appears at the top of the list. The Total Projects, Total Cost, Total Paid and Remaining Amount columns stay at zero, until you assign them items and pay them.
  • Click their name in the list to open their page.
  • Adding a contractor doesn't move any money. No treasury or balance changes.

Contractor or supplier: what's different

  • Where you add them: Contractors → Add New Contractor, or Suppliers → Add New Supplier. The fields are the same, except that the name of the first field changes: Contractor Name or Supplier Name.
  • In project items: the contractor appears when you choose Execution (contractor), and the supplier when you choose Supply (supplier). Neither one appears in the other's list.
  • In payments: the contractor has the Contractor payment voucher, and the supplier has the Supplier payment voucher.
  • Plan limit: contractors are counted on their own, and suppliers are counted on their own.
  • Phone: the same person can be a contractor and a supplier with the same phone number. They are two separate records.
  • Neither one turns into the other after saving. So if you added them in the wrong place, add them again in the right place.

To assign them an item and pay them

  • To assign them an item: open the item in the Edit values drawer inside the project. Choose Execution (contractor), then choose the contractor from the Contractor list. This list is sorted by name.
  • To pay them from the project page: the payment voucher shows only the contractors who have been assigned an item in this project. If no item has been assigned to any contractor, the message "No contractor is assigned to this project. Assign an item to a contractor first, or record the voucher from the payment vouchers screen." appears.
  • To pay them from Contractor payment voucher: it shows a list of all your contractors. After you choose the contractor, their projects appear according to this setting: Settings → Operations → Limit contractor voucher lists to the contractor's own projects and items.
    • If the setting is on, which is the default: only the projects and items assigned to them appear. If no item has been assigned to them, the message "This contractor has no projects" appears.
    • If the setting is off: all projects and all items appear.

So the usual order is: add the contractor, then assign them an item, then pay them.

Permission you need

You're the account owner, so you have every permission. If you want an employee to add contractors for you, give their level these permissions from the Contractors group:

  • Add Contractors to add the contractor. This is the only permission needed for saving to be accepted.
  • View Contractors to see All Contractors.
  • Edit Contractors if they will complete contractors' details later.

The supplier permissions are in the same group, but they are separate. So someone who has Add Contractors can't add a supplier, unless they also have Add Suppliers.

If you can't find the button or saving is refused

  • You don't see Contractors in the sidebar: your account has neither the View Contractors permission nor Add Contractors.
  • You see Contractors but not Add New Contractor under it: your account doesn't have the Add Contractors permission.
  • You don't see Add Contractor in All Contractors, and you see Upgrade Subscription: you have reached the contractor limit of your plan. If you try to save from anywhere else, saving is refused with the message "You have reached the maximum number of contractors in your plan…" (in Arabic). Then the system takes you to the plan upgrade page.
  • "Please fill in all required fields": the Contractor Name is empty. Or the Mobile Phone contains something other than digits, or its length is wrong. If the number has a + sign or a space, no warning appears at the field. Delete them, and type the digits only.
  • "Phone number already exists" at the field, or "This phone number is already used by another contractor." (in Arabic) when you save: the number belongs to a contractor who is already registered. Search for them by name in All Contractors before you add them a second time.
  • You added them from Suppliers by mistake: they won't appear under Execution (contractor), or in Contractor payment voucher. Add them again from Contractors. They can have the same phone number.
  • You added them and can't find them in the payment voucher from the project page: they haven't been assigned an item in this project yet.
