How do I create a new project for a customer?
What you will do
You create a new project and link it to its customer. The project name and the customer are enough. All other fields are optional. The project starts with no items, and you add the BOQ items after you create it.
Before you start
- The customer. Every project has a customer, and the project can't be saved without one. If your customer isn't registered yet, add them from inside the same drawer (step 7).
- Plan limit. Your plan may set a maximum number of projects. In that case, All Projects shows a counter called Projects, which shows how much of this limit you have used. When you reach the limit, the Add Project button disappears and Upgrade Subscription appears.
- Taxes follow your settings. A new project starts with the tax types marked Default. You find them in Settings → Operations → Tax types. If you're going to create many projects, review them there first.
Steps
- Click the + sign next to Projects in the sidebar, or click Add New Project under it. The Add Project drawer opens.
- Type the Project Name.
- Scroll down to the Customer field. You'll find it after Project attachments.
- Click the Customer field. A list of your customers appears.
- Type part of the customer's name to narrow the list.
- Click the customer's name in the list. Typing alone doesn't select the customer.
- Add the customer from here if they aren't registered:
- Click Add new customer at the end of the list. The customer drawer opens on top of the project drawer.
- Fill in the customer's details.
- Click Save. The customer is selected for the project automatically.
- Fill in any of the optional fields below that you need. You can also leave them for now.
- Click Save Data at the bottom of the drawer.
Optional fields
- Address: the project's location.
- Start Date, End Date and Budget.
- Status: starts as Active. The other statuses are On hold, Completed and Cancelled.
- Project Manager: choose one of your employees. To add a new employee, choose Add New Employee at the end of the list.
- Project attachments: the contract, drawings and so on. PDF files or images are accepted, up to 10 files, and up to 10 MB per file. The project can't be saved until they finish uploading.
- Supervision Rate: a percentage of the item value charged to the customer for your supervision. Enter it now if you charge it. If you change it later, the change doesn't apply to what was already charged to the customer before it.
- Project taxes: start with your default taxes. You can remove some or add more, and this applies to this project only.
- Marketing Rates and Broker Rates: choose the marketer or broker from your contractors, then type their rate. Fill in the whole row, or leave the whole row empty. To add more than one, click Add marketer or Add broker.
Other ways to the same drawer
- From the home page: click Create First Project in Finish setting up. If the steps are collapsed, click Show steps first.
- From All Projects: click Add Project.
⚠️ To create several projects in a row, click Save & add another instead of Save Data. The drawer stays open, the name, address, customer, rates and attachments are cleared, and the taxes go back to your default taxes. But Start Date, End Date, Budget, Status and Project Manager keep their values from the previous project. So review them before each save.
What changes after you save
- The message "Project saved successfully" appears, and the drawer closes.
- If you started from the sidebar: you go to All Projects, where you find the new project.
- If you started from the home page or from All Projects: you stay on your page, and the page refreshes. On the home page, the Create First Project step is marked as done. In All Projects, the new project appears in the list.
- The project has no items yet. Your next step: open the project from All Projects by clicking its name. Then open the Construction Items tab and click Add New Item.
- You can edit what you entered later from the Project settings tab on the project page. Anything that isn't in this tab, such as the address, the attachments, and the marketing and broker rates, you edit from Open the project edit page.
What follows your company settings
- How the completion percentage is calculated, and payment voucher approval: these don't appear in the Add Project drawer. The new project follows your general setting for both. You find this setting in Settings → Operations, in the options Completion basis and Payment vouchers require approval and payment confirmation.
- To make a specific project differ from your general setting: open the project, then go to Project settings → Project overrides. In Completion basis or Voucher approval & payment, choose an option other than Follow general setting. Then click Save settings. Anything you leave on Follow general setting follows your general setting, so it changes when you change that setting.
- Taxes are copied into the project when it is created. So if you edit Tax types afterwards, existing projects don't change. To edit a project's taxes and supervision rate, open Project settings → Supervision and taxes.
Permission you need
As the account owner, you have all permissions. If an employee will create projects on your behalf, grant their level these permissions from the Projects group:
- Add Projects: to create the project. Without it, saving is refused.
- View Projects: to see All Projects.
- View Project Details: to open the project after creating it.
If they will add something from inside the drawer that isn't registered yet:
- The customer: Add Customers from the Customers group.
- The project manager: Add Users from the User Management group, together with Add Admins from the Administration group. Without the second one, saving the employee is refused.
If their level has View assigned projects only, a project they create without choosing a Project Manager is assigned to them automatically. That way, the project doesn't disappear from their list.
If you can't find the button or saving is refused
- You don't see the + sign or Add New Project: your account doesn't have Add Projects.
- You don't see Add Project in All Projects, and Upgrade Subscription appears: you have reached your plan's project limit.
- A Plan limit reached alert appeared with the text "You have reached the maximum number of projects in your plan (…). Please upgrade to continue." (in Arabic), and then you were taken to Plans & upgrade: you have reached your plan limit, and the project wasn't saved. A Completed or Cancelled project still counts toward the limit. A deleted project doesn't.
- "Please select a customer" even though you typed the customer's name: you didn't click the customer's name in the list. Click it there.
- "Please enter the project name": the Project Name field is empty.
- "Both contractor and marketing rate must be selected together" or "Both contractor and broker rate must be selected together": one of the rows has a contractor without a rate, or a rate without a contractor. Complete the row or clear it.
- You don't see Add new customer in the customer list: your account doesn't have Add Customers. Ask someone who has this permission to add the customer, then come back to the drawer.
- "You do not have permission to perform this operation." (in Arabic) when you save: your account doesn't have Add Projects. The drawer may open for you without this permission, but saving is refused.
- Saving the project failed after you added the customer from the drawer: the customer is saved and selected. Try saving again, and don't add the customer a second time.
- Create First Project isn't a link on the home page: you have already created a project, so the step is done. Use the sidebar.
