How do I add an item to a project and set the customer price and contractor cost?

اقرأه بالعربيّة

What you will do

You add an item to the project's BOQ in two stages. First, you create the item: its name, its unit, and its place in the item tree. Then you open the Edit values drawer and enter the quantity and the customer price. There, you also choose the contractor who carries out the item and enter the contractor cost. From the difference between the customer price and the contractor cost, the system calculates the item's expected profit.

Before you start

  • The project exists. If it doesn't, create it from Add New Project.
  • The contractor is registered. If not, add them from inside the drawer by clicking Add New Contractor.
  • The item doesn't need to be in your item list already. The New item option adds it to your list and links it to the project at the same time.

Steps

First: create the item

  1. Open the project from Projects.
  2. Open the Construction Items tab.
  3. Click Add New Item at the end of the toolbar above the table.
  4. In Item source, choose one of the two options:
    • Existing item: if you have used this item before. Search for it in Search items....
    • New item: if you haven't used this item before.
  5. In Item Type, choose one of the two options:
    • Main Item.
    • Sub Item, then in Select the main item, choose the item it falls under.
  6. If you chose New item, complete the item's details:
    • Type the Item Name.
    • Choose the Unit.
    • Add an Item Description if you want.
  7. Click Save & close. Or click Save & add another to go straight to the next item.

⚠️ Choose Existing item whenever the item is already in your item list. If you choose New item with a name you already have, a second item with the same name is created in your item list.

The item appears in the table without numbers. You enter the prices and choose the contractor in the second stage.

Second: set the prices and the contractor

  1. Click the item's row in the Summary view. The Edit values drawer opens. On a phone, tap Edit values on the item's card.
  2. Choose Execution (contractor) if a subcontractor will carry out the item. Or choose Supply (supplier) if a supplier will supply it.
  3. Choose the Contractor from the list.
  4. Enter Quantity (Contractor) and Price (Contractor). The price here is what you will pay the contractor per unit.
  5. Enter Quantity (Customer) and Price (Customer). The price here is what the customer pays you per unit.
  6. Click Save.

⚠️ Empty customer fields take the contractor's values automatically, until you type a number in them. So if you forget the customer price, it becomes equal to the contractor cost, and the only profit left on the item is the supervision fee, if the project has a supervision rate.

A main item that has sub-items under it doesn't take prices. You enter the prices on the items under it, and the main item adds them up.

What changes after you save

  • The item shows these figures in the Summary view:
    • Items value: what the customer owes.
    • Executor cost: what the contractor is owed.
    • Expected supervision fees.
    • Expected Profit.
  • Expected profit = (customer price − executor price) + expected supervision. It's a plan, and no money moves because of it. Money moves through vouchers.
  • You find the same figures totaled for the whole project in the Overview tab, under Project financial snapshot, then As contracted.

What your customer sees and doesn't see

Your customer sees the customer quantity, the customer price and the total, in the shared report, the customer portal and the quotation. They don't see the contractor cost, the item's profit, or the executor's name. This restriction is built into the system itself. It isn't a setting you choose. The item appears to them if it has a customer price, or if an expense has been charged to it.

If you need more than one executor for the item

After you choose the first executor, two options appear in the Edit values drawer: + Another contractor and + Another supplier. Both are for items that have no sub-items under them.

If the contractor has a paid payment voucher on this item, the contractor can't be changed. Add another contractor instead of changing it.

Permission you need

As the account owner, you have all permissions. If an employee will do this on your behalf, grant their level:

  • Add Project Construction Items: to add the item to the project.
  • Add Construction Items: also needed if they will use New item.
  • Edit Construction Items Prices and Edit Project Construction Items: to enter the prices and choose the contractor.
  • View Construction Items Prices: to see the figures in Overview.

If you can't find the button

  • You added the item from Construction Items in the sidebar, and you can't find it in the project: the Add New Construction Item button there adds the item to your general item list, not to a project. Open the project, then add the item to it by choosing Existing item.
  • You don't see Add New Item in the project: your account doesn't have Add Project Construction Items.
  • Clicking the item's row doesn't open anything: your account doesn't have Edit Construction Items Prices.
  • You can't find the Details view on a phone: this view is for wide screens only. Use the Summary view.
