How do I set a project's taxes, and see what was added and withheld in each period?
What you will do
You set each project's taxes, so their effect shows in the customer's balance, and you find them totalled in the Tax report for each period. Taxes are of three kinds, depending on who pays and who withholds:
- Added on the customer: like VAT at 14%. It increases what the customer owes, and you pay it to the tax authority.
- Withheld from you by the customer: like a 1% withholding tax. It reduces what the customer pays you in cash, and stays as a credit for you with the tax authority.
- Withheld by you from contractors and suppliers: like 1% withheld when you pay them. You pay it to the tax authority on their behalf.
Before you start
- Set the project's taxes before the first voucher that charges its customer, and don't change their rates after that without checking with your accountant.
- The types come from the settings. Tax types has five ready Egyptian types: VAT, the table tax, and three kinds of withholding tax. Template rates are indicative: review them with your accountant.
- A new project has no taxes unless you choose them, except the types you mark Default in the settings.
- Rates apply to the amount before tax: 14% tax on 100,000 is 14,000.
Steps
Tax types and what's chosen automatically (once)
- Open Settings, then Operations, and scroll down to the Tax types card.
- For a tax to be added automatically to every new project, click Default next to it, then click Save changes. "Settings saved successfully." appears. Existing projects' taxes don't change.
A project's taxes
- For a new project: the Project taxes field in the "Add New Project" form, with the default types already chosen. For an existing project: open the project, then the Project settings tab, then Project taxes in the Supervision and taxes card.
- Click "Select project taxes". Your tax types from the settings appear, then Templates by country, then Other tax for a tax whose name and rate you type yourself. Choose what you need.
- Review the Rate of each tax you chose. Below them is Net:, like "On customer items +13%" when you choose 14% VAT and a 1% withholding.
- Click Save settings. "Saved successfully" appears.
What changes after you save
- In the project's Overview: a line for each tax with its amount on what has been charged to the customer so far, and next to it its amount On the full contract.
- "Due now" and "Remaining on the contract" include the net taxes: what's Added increases them, and what's Withheld reduces them.
- If you chose a withholding from contractors and suppliers: the project shows Contractor and supplier taxes with its amount on what has been paid to them, then Remaining in cash after taxes.
- The Tax report calculates each voucher at the tax rates in effect on the voucher's date. So vouchers from before the taxes were set don't show in it with a tax.
Tax report
- Open Reports in the side menu, then Tax report.
- Choose the period: This month, This quarter, Last quarter or This year, or two dates in From Date and To Date. The period when it opens is the current quarter.
The report shows three figures:
- "Added on customers": tax you charged to customers, which you pay to the tax authority.
- "Withheld from us by customers": what customers withheld at source, which is a credit for you with the tax authority.
- "Withheld by us from contractors and suppliers": what you withheld when paying them, which you must pay on their behalf.
Below them are two tables:
- Customers: for each project, what was charged to the customer in the period, and each tax on it. Dated by the voucher's date.
- Contractors and suppliers: "Paid in cash" and the "Work value" before withholding, dated by the payment day. 1% withheld on a 99,000 payment means 100,000 of work value, and 1,000 withheld.
To download it, click View Reports, then PDF or Excel.
Permission you need
You're the account owner, so you have every permission. If you want an employee to act on your behalf:
- Manage Settings to edit the Tax types. Anyone without it sees the types read-only.
- Add Projects to choose taxes when creating a project, and Edit Projects to change them on an existing project.
- View Company Expense Reports to open the Tax report, with View Customer Details to see its customer side. Anyone limited to specific projects can't open company reports.
If you can't find the button or saving is refused
- "Complete the tax details first.": a tax has a rate of zero or more than 100, or no name. Fix it, then save.
- You can't find the Project settings tab: your account doesn't have Edit Projects.
- You can't find Tax report under Reports: your account doesn't have View Company Expense Reports, or your permission is limited to specific projects.
- "No taxes in this period": no voucher in the period has a tax. Either the project has no taxes, or the period's vouchers came before they were set. Widen the period, or set the project's taxes.
