How do I see what a customer owes and has paid, and follow their projects from their page?
What you will do
You open a customer's page to see, in one place, what they have paid, what they owe now, and what is left on their contracts. It also lists their projects and the receipts you took from them. From it you can record a payment from them or a new project for them, and print the report of each of their projects.
Before you start
- The figures add up all of the customer's projects. For one project's figure, open that project.
- Only approved, collected vouchers count in the balance. A voucher waiting for approval or payment does not show here yet.
- Each balance carries a word: "Owes" when the customer owes you, "In credit" when they paid more than they owe, and "Settled" when the two are equal.
Steps
Open the customer's page
- Open Customers in the side menu, then All Customers.
- Click the customer's name. "Customer Details" opens on the Overview tab.
Read their balance in Overview
- Total Paid: everything you received from the customer on their projects.
- Due now: the value of work executed and charged to the customer so far, plus its supervision fees and the project's net taxes, minus what they paid. This is what you can claim today. It is the sum of "Due now" on their project pages.
- Remaining on the contract: the value of all items in their contracts, plus supervision and taxes on the whole contract, minus what they paid. It is larger than Due now by whatever is not executed yet.
The same page shows a Client tasks card if tasks are enabled for you.
Review their projects and payments
- Projects: one row per project, and its name links to the project page. Total Cost is the value of the project's items for the customer before supervision and taxes, and Remaining Amount is that value minus Paid Amount. For what the customer really still owes, rely on Remaining on the contract in Overview.
- Invoices History: the customer's approved receipt vouchers. Each voucher number links to its page, with the project, Amount, Payment Date and Payment Method.
- Quotations and linked receipts: choose a project to see the customer's saved quotations, what you received linked to each one, and Customer receipts without a quotation (EGP).
Record a transaction for the customer
- Click Record transaction at the top of the page.
- Choose:
- Receipt from customer: opens a "Quick voucher" with the customer already selected. Choose the project and the voucher form appears. The details are in the payment article at the bottom of this page.
- Add Project: opens a new project form with the customer already selected.
- Add client task: shown if tasks are enabled for you.
Print a project report
- Click View Reports. Customer Reports appears, with one row per project.
- To limit the report's receipts table to a period, choose From Date and To Date. Leave both empty for all dates.
- Click the PDF button next to the project. The report opens in a new window.
Follow the links you sent them
Click Customer link tracker. It lists the project statement links you issued for this customer, each with Openings and Last opened. Your own openings while you are signed in are not counted.
What changes after you save
- After an approved, collected receipt from Record transaction: Total Paid goes up by its amount, Due now and Remaining on the contract go down by the same amount, and the voucher appears in Invoices History.
- After a new project: it appears in Projects, Total number of projects goes up, and it enters Remaining on the contract once you add its items.
- From Date and To Date in the reports do not change the balance. The report counts the customer's balance on everything they paid.
Permission you need
You are the account owner, so you have every permission. If you want an employee to act for you:
- View Customers to reach All Customers, and View Customer Details to open the customer's page and see the balance.
- View Customer Receipt Vouchers to see the Invoices History tab.
- View Project Details to see Customer link tracker.
- For the Quotations and linked receipts tab: View Customer Receipt Vouchers, View Project Details and View Construction Items Prices together.
- In Record transaction: Add Customer Receipt Voucher for Receipt from customer, Add Projects for Add Project, and Add client tasks for Add client task.
If you can't find the button or a figure differs
- No Invoices History tab: your account lacks View Customer Receipt Vouchers.
- No View Reports: the customer has no projects yet.
- A receipt you recorded does not show: the voucher is not approved yet. It shows here once approved.
- Remaining Amount in Projects is lower than Remaining on the contract: that column leaves out supervision and taxes. Rely on Remaining on the contract.
- Due now here does not equal its sum on the project pages: this happens if you changed a project's taxes after recording vouchers in it. This page counts each voucher at the tax rates of the voucher's date, while the project page uses the current rates. See the project taxes article at the bottom of this page.
