How do I follow my treasury balance, add a treasury for the bank or a wallet, and transfer between them?
What you will do
In All Treasuries you see the balance of every place where your company keeps money: cash in the office, your bank account, and your e-wallet. You add a treasury for each place, transfer money between them, and open the statement of any treasury.
Before you start
- Your account starts with one cash treasury named "الخزنة الرئيسية" (Main Treasury), and it is the Default: every voucher is recorded on it unless you choose another. If all your money is in one place, you do not need to add anything.
- There is no opening balance in the treasury form. Its balance comes from vouchers: receipts increase it and payments decrease it.
- Only approved, paid vouchers count in the balance, on their payment date.
Steps
Read your treasury balances
- Open Treasuries in the side menu, then All Treasuries.
- Each treasury has a row with Treasury Type, Total In, Total Out and Balance. At the top of the page, Company Total is the sum of their balances.
- To see the balances as they were on an earlier day, pick the date in Balance as of, then click Search.
Add a treasury
- Click Add Treasury.
- Enter the Treasury Name, such as "Bank account", and choose the Treasury Type: Cash, Bank Account or E-Wallet.
- Click Save Data. "Treasury saved" appears, and the treasury shows in All Treasuries with a zero balance.
From then on, voucher forms show a Treasury choice, set to the default treasury. Choose the treasury the money went into or came out of.
Transfer money between two treasuries
- In All Treasuries, click Transfer Between Treasuries.
- Choose From Treasury. Its Treasury balance shows below it.
- Choose To Treasury, and enter the Amount.
- The Transfer Date is today. For a transfer made on an earlier day, pick that day. A day after today is not accepted.
- Enter a Description if you want, then click Save Data. "Transfer completed successfully" appears.
The system does not stop you from transferring more than the treasury's balance, so it can go negative. Check the Treasury balance before saving.
Open a treasury statement
- In All Treasuries, open the treasury's menu with the three-dots button, then click Statement.
- You see the Opening Balance, then one row per movement: Date, Statement, Party, In or Out, and the Balance after it. Then the Closing Balance.
- For a given period, pick From Date and To Date, then click Search.
Change the default treasury, or stop a treasury
From the treasury's menu in All Treasuries:
- Set as Default: new vouchers are recorded on it unless you choose another.
- Deactivate: it disappears from the treasury choice in new vouchers, and its balance and statement stay. Activate brings it back.
- Edit: to change the name, type or notes, or to switch off Active.
- Delete: only for a treasury with nothing recorded on it.
What changes after you save
- After a transfer: the Balance goes down in the first treasury and up in the second by the same amount, and Company Total does not change. The first treasury's statement shows "Transfer Out", and the second's shows "Transfer In".
- To cancel a transfer: open the statement of either treasury, click Cancel transfer next to it, then confirm. It is cancelled on both treasuries together.
- After changing the default treasury: old vouchers stay on their treasury. The change applies to new vouchers only.
Permission you need
You are the account owner, so you have every permission. If you want an employee to act for you:
- Manage Treasuries: to add, edit, stop and delete treasuries, transfer between them, and cancel a transfer.
- View Treasury Reports: to see All Treasuries and each treasury's statement without changing anything.
If you can't find the button or saving is refused
- No Treasury choice in the voucher form: you have only one active treasury, so the voucher is recorded on it.
- No Add Treasury or Transfer Between Treasuries: your account lacks Manage Treasuries.
- "Choose two different treasuries": you chose the same treasury in From Treasury and To Treasury.
- "Cannot delete" with a message in Arabic saying the treasury has recorded movements: the treasury has vouchers or transfers on it, even vouchers not approved yet. Deactivate it instead of deleting it. A cancelled transfer does not block deleting.
- A message in Arabic saying the default treasury cannot be deactivated, or cannot be deleted: make another treasury the default first.
- A message in Arabic saying an inactive treasury cannot be the default: click Activate from its menu, then Set as Default.
